What we’re looking for
The Workplace Coordinator will play a pivotal role in enhancing the operational efficiency and elevating employee experience of the Lisbon and Porto office. This position focuses on various aspects of workplace management, including employee engagement initiatives, housekeeping oversight, minor maintenance tasks, event coordination, landlord relations, and the implementation of workplace enhancements and new initiatives. We are looking for someone who can add an edge to our office culture, and create a work atmosphere where people feel inspired and supported.
Key Responsibilities:
Keeping the Office Running Smoothly
Oversee the day-to-day operations of our Lisbon office and visit our Porto office monthly or as needed.
Manage housekeeping, visitors, mail handling, and relationships with external vendors.
Take charge of seating arrangements and explore ways to integrate technology into office operations.
Making Work More Enjoyable
Develop and implement strategies to boost employee experience and engagement.
Collect employee feedback to identify and act on opportunities for improvement.
Maintaining a Safe and Functional Space
Coordinate minor maintenance tasks and partner with service providers for larger repairs or upgrades.
Ensure health and safety compliance across our workplace.
Bringing People Together
Plan and host office events that enhance workplace culture and foster connection.
Collaborate with teams to organize meetings, workshops, and social activities.
Work with our global events team to support company-wide initiatives.
Collaborating with Stakeholders
Maintain positive relationships with landlords and external stakeholders, addressing issues promptly.
Driving Positive Change
Identify opportunities to enhance the office experience, propose new ideas, and stay updated on workplace trends.
Champion DEI&B (Diversity, Equity, Inclusion & Belonging) and Green initiatives to make our offices inclusive and sustainable.
Qualifications:
Bachelor’s degree in Business Administration, Facilities Management, or a related field.
Proven experience in administration, office management, workplace roles up to 3 years
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent communication skills in both Portuguese and English, Russian is an advantage.
Proficient in Microsoft Office Suite and familiar with workplace management software.
A proactive approach to problem-solving with strong attention to detail.
Ability to work collaboratively within a team environment.
Enthusiastic about creating an engaging workplace culture.
