What we’re looking for
The Facilities Management Coordinator will be instrumental in ensuring the smooth operation of our Berlin offices. This role will focus on proactive maintenance management, project support for new office initiatives, and the overall enhancement of workplace efficiency. The ideal candidate will possess a strong engineering background, a solid understanding of Planned Preventive Maintenance (PPM) activities, and a keen ability to manage office systems effectively.
This role presents an exciting opportunity for a driven individual to contribute significantly to our facilities management efforts in Berlin while paving the way for potential growth into a global role.
Job Requirements:
Facilities Operations Management:
Oversee daily facility operations to ensure a safe and functional work environment.
Implement and manage PPM schedules for all building systems (HVAC, plumbing, electrical).
Coordinate with service providers for repairs and maintenance activities.
Oversee quality delivered services and propose optimisation.
Deeper understanding and interest in the current FM and workplace trends, with ability to seek for innovative solutions.
Project Support:
Assist in the planning and execution of new office projects, including renovations and expansions or minor office enhancements.
Collaborate with internal teams to ensure timely completion of projects within budget.
Conduct feasibility studies for potential facility improvements.
Compliance and Safety:
Ensure compliance with health and safety regulations across all facilities.
Closely collaborate with internal HSE and OHS teams.
Conduct regular inspections of facilities to identify maintenance needs and safety hazards.
Develop emergency preparedness plans and conduct safety drills.
Collaborate with internal teams to develop and implement DEI&B and Green initiatives within the offices.
Vendor Management:
Liaise with external vendors for maintenance, cleaning, and security services.
With the help of internal teams negotiate contracts with service providers to ensure quality service delivery at competitive rates.
Monitor vendor performance and compliance with service agreements.
Reporting and Documentation:
Maintain accurate records of maintenance activities, project progress, and facility budgets.
Prepare reports on facility performance metrics for management review.
Qualifications:
Bachelor’s degree in Engineering, Facilities Management, or a related field.
3-4 years of experience in facilities management or a related role
Strong understanding of building systems and office equipment; familiarity with facilities management software is a plus.
Excellent communication skills in both German and English
PMP, CFM, WELL certifications are a plus
Excellent organizational skills with the ability to manage multiple priorities effectively.
Strong analytical skills with a proactive approach to problem-solving.
Ability to work collaboratively within a team while also being self-motivated.
