What we’re looking for
We are looking for a Military Records Specialist to join our People team in Ukraine. In this role, you will be responsible for maintaining accurate and up-to-date employee military records in compliance with applicable labor laws and regulations.
Job Responsibilities:
Military Records Management: Maintain and update accurate military records for conscripts, reservists, and military obligors, ensuring compliance with military registration rules.
Document Verification: Check that new hires have valid military registration documents and are registered at their place of residence.
Employee Notification: Inform conscripts, military obligors, and reservists of their registration obligations upon hiring and throughout their employment.
Summons Coordination: Notify conscripts and reservists of summons and ensure timely attendance at military or intelligence service units when required.
Reporting: Submit necessary reports and information on military records to relevant authorities (e.g., Central Military District, Security Service of Ukraine) upon request.
Record Accuracy: Maintain, verify, and update personal military records regularly, ensuring data is accurate and aligned with military registration documents.
Mobilization Preparation: Prepare and submit documents for reservists during mobilization periods and handle exclusions from military records once individuals reach the maximum reserve age.
Compliance Checks: Regularly verify military registration status through internal checks and liaise with military authorities to ensure proper documentation.
Reporting and Coordination: Prepare and submit annual reports on military registration status and assist in the development of plans for the following year.
Job Requirements:
Proven experience in personnel administration or a similar role.
High level of responsibility
Good communication skills
Ability to process big data sets
Strong organizational and multitasking abilities
Work experience in a similar position of 1 year or more
English knowledge on pre-Intermediate level would be a plus
State-standard certificate of training in the Rules of Military Accounting according to the program approved by the General Staff of the Armed Forces of Ukraine would be a plus
